Other Company-Paid Time Off

There are times when you may need to be away from work to serve your community and fulfill personal and civic obligations. To support you during those times, we provide a variety of Company-paid time off programs. 

Requests for leave must be approved by your immediate supervisor and the Benefits Department. When possible, please request leave as far in advance as possible to minimize any disruption of work or project schedules. 

Below is a brief description of Company-paid leaves. For further details on these and all of the other leaves CMSU provides, please refer to our leave policy on the Benefits section of the Company Intranet.

 

Volunteer Time Off

Volunteering is a way for CMSU employees to enhance and support the communities where we live and work. If you wish to volunteer in your community, CMSU will support you with up to two days of VTO a year. 

To qualify as VTO, the volunteer work must be performed for a non-profit 501(c)(3) charitable organization during days that you are normally scheduled to work for CMSU. 

VTO is to be used within the calendar year it is granted and does not carry over to the following year. 

VTO requests are subject to supervisor approval. You may use your VTO in full or partial day increments, not to exceed your daily standard hours. VTO will be paid at your normal pay rate for the volunteer hours taken. 

 

VTO guidelines
  • To qualify as VTO, the volunteer work must be performed during your scheduled working hours for a non-profit 501(c)(3) charitable organization.
  • You may use your VTO in full or partial day increments, not to exceed your daily standard hours.
  • VTO requests are subject to supervisor approval in advance.
    • Full day increments should be requested through the Global Time Off Request in eTime and recorded as shown below.
    • Partial day increments should be requested by an email to your manager and recorded directly on your timecard (for instructions about entering partial time off, please see the eTime reference guides).
  • VTO will be paid at your normal pay rate for the volunteer hours taken.
  • Unused VTO does not carry over to the following year.

 

How to record VTO

To submit your request through the Global Time Off Request in eTime, click on the “Request Time Off-Click Gear” and select “Pop-Out” to open the Global Time Off Request.

 

Click on “Request Time Off”.

 

Enter the start date and end date.

 

Click in the box under “Pay Code” and select “Volunteer Time Off” and click “Submit”.

 

After your manager approves your VTO, it will automatically populate on your timecard.

Voting Time

CMSU encourages you to exercise your right vote. If you do not have sufficient time outside of work to vote, you may request up to two hours of time off to vote in local, state, or national general elections or primaries. 

You are eligible to request time off to vote if you are scheduled to work for at least a full 7.5- or 8-hour schedule on Election Day and do not have enough time to vote outside of working hours.

 

Jury Duty

CMSU recognizes the importance of fulfilling your civic duty as a juror. If you are summoned for jury duty, CMSU will continue your regular pay for up to four weeks per calendar year. Exempt employees may need to work outside of normal business hours or work from home to ensure continuity of operations while they are jurors. 

If jury duty lasts longer than four weeks, you may use any available vacation, and you will receive as much unpaid jury duty leave as required to fulfill your obligation.

 

Witness Duty

CMSU supports your civic obligation to serve as a witness in court. If you are summoned to appear in court as a witness, CMSU will continue your regular pay for up to four weeks per calendar year. 

If witness duty goes longer than four weeks, you may use any available vacation, and you will receive as much unpaid witness duty leave as required to fulfill your obligation.

Witness duty does not include and will not be paid for the following:

  • If you are a plaintiff or defendant
  • If you voluntarily appear as a witness
  • If you testify for a fee as an expert witness

 

Bereavement 

Losing a family member is one of the most difficult events we can experience. CMSU provides you with five days of paid bereavement leave to support you while you are making funeral arrangements or attending the funeral of an immediate family member. 

An immediate family member includes the following:

  • Spouse or domestic partner
  • Parents and stepparents
  • Siblings
  • Children
  • Grandparents
  • Grandchildren

If long distance travel is required, CMSU may provide up to three additional days of paid bereavement leave.
